Vacancy: Temporary Backfill Personal Assistant to Deputy High Commissioner

The Australian High Commission, New Delhi, is seeking applications for the temporary backfill of Personal Assistant to Deputy High Commissioner at the Australian High Commission, New Delhi. The applicant must hold or be able to maintain in a short timeframe an Australian Government Security Clearance.

The successful applicant will be offered a temporary contract of employment for a period of 6 months, with the possibility of a short extension.
The commencing salary will be in the salary range of between Rupees 45,000 and 55,000 per month. A further allowance may be payable to the successful applicant depending on security clearance status, qualifications and experience.

About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
 

About the Position
The role of the Personal Assistant to Deputy High Commissioner is to provide full range of secretarial and administrative support to the Deputy Head of Mission, including managing the Deputy High Commissioner’s Office.

The key responsibilities of the position include, but are not limited to:

a) Undertake ad hoc research duties, reporting and project work as directed by the Deputy High Commissioner. Serve as a member of the Direct Aid Program Committee.

b) Provide administrative assistance to Political and Economic Sections as required, particularly in support of official visits and public affairs activities, including preparation of programs. Provide back-up for the Visits and Government Relations Manager and for the High Commissioner’s Executive Assistant.

c) Provide extensive liaison between Deputy High Commissioner, High Commissioner and senior officers in the Mission, and Consuls-General in India and coordinate the preparation of briefing material for meetings, reports, speech notes and travel.

d) Manage the DHOM’s electronic diary.

 

e) Organize travel/visas/accommodation and travel programs for the Deputy High Commissioner and other officers, as required.

f) Arrange meetings for the Deputy High Commissioner.

g) Manage day-to-day filing and record keeping for the Deputy High Commissioner, including use of EDRMS.

h) Draft correspondence on behalf of the Deputy High Commissioner, including responses to ministerial representations and High Commissioner representations.

i) Undertake analyses and produce written reports as required.

j) Manage events.

k) Other duties as directed.

Qualifications/Experience
a) Education: Completion of a graduate level degree is desired.
b) Extensive experience as Executive/Personal Assistant to a senior manager or similar employment experience.
c) Superior office management and organizational skills, including hospitality supervision and support skills.
d) Excellent oral and written communication skills, highly developed liaison and interpersonal skills.
e) Competent IT skills: good working knowledge of applicable software applications such as Outlook, Microsoft Word and Excel.
f) Willingness to advice of a security clearance or undergo a process and capacity to provide proof of Australian citizenship.

Selection Criteria
1. Extensive experience as Executive/Personal Assistant to a senior manager or similar employment experience.

2. Superior office management and organisational skills, including hospitality supervision and support skills.

3. Excellent oral and written communication skills, highly developed liaison and interpersonal skills.

4. Competent IT skills: good working knowledge of applicable software applications such as Outlook, Microsoft Word and Excel.

5. A working style that is team oriented and flexible and the ability to handle pressure; and

6. Willingness to advice of a security clearance or undergo a process and capacity to provide proof of Australian citizenship.
